Layout and values Updated November 2026

Repeat row labels

Click in the pivot, open Design, Report Layout and choose Repeat All Item Labels. The outer field's value is then written on every row of its group instead of only the first one, which is what you need before copying the pivot as values or using it in VLOOKUP.

Syntax

Design > Report Layout > Repeat All Item Labels
PartWhat it is
Repeat All Item LabelsApplies to every row field
Field Settings > Layout & Print > Repeat item labelsPer-field version, for one field only
Google SheetsPivot table editor, row field, tick Repeat row labels

Examples

Rows: Region, Rep (Tabular Form)
Design > Report Layout > Repeat All Item Labels

Result: East appears next to every East rep, not only the first one.

Right-click Region label > Field Settings > Layout & Print > Repeat item labels

Result: Only Region repeats; other row fields keep the standard single label.

Common mistakes

  • The option is grayed out: it only works in Outline or Tabular form, so change the Report Layout first.
  • Labels repeat but subtotal rows break the list: turn off subtotals and grand totals for a clean copyable block.
  • Copy and paste still gives blanks: you copied before turning on the option, or you are in Compact form.
